Overview

Synchronized ("we," "us," or "the Company") operates a financial data infrastructure platform that processes financial documents and constructs structured models of financial reality for advisory firms and their clients.

This Privacy Policy describes how we collect, use, store, and protect information when you use our platform, including the Advisor Portal, Client Portal, and related services.

Information We Collect

Account Information

When you create an account, we collect your name, email address, professional title, firm affiliation, and role. For firm administrators, we also collect firm name, subdomain, and branding preferences.

Financial Documents

Clients and advisors upload financial documents (tax returns, brokerage statements, K-1s, trust agreements, etc.) for processing. These documents are stored encrypted and processed through our AI extraction pipeline. We do not use client financial documents to train or fine-tune any machine learning models.

Extracted Financial Data

Our system extracts structured financial information from uploaded documents, including account balances, income figures, entity relationships, and asset details. All extracted data maintains provenance linking back to the source document, page, and line.

Usage Data

We collect information about how you interact with the platform, including pages visited, features used, queries executed, and documents processed. This data is used to improve the product and is not shared with third parties.

  • To improve extraction accuracy and platform reliability

We do not sell your personal information or financial data to third parties. We do not use your data for advertising purposes.

Data Storage & Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Documents are stored in isolated, encrypted storage with access controlled through time-limited, authenticated URLs.

We employ firm-level data isolation (multi-tenancy), ensuring that each firm's data is logically separated at the database level. No cross-tenant access is possible by design.

Encryption keys are managed through AWS Key Management Service with automatic rotation. Database backups are continuous with point-in-time recovery capability.

Data Retention

Financial documents and extracted data are retained for the duration of the firm's active subscription plus the retention period specified in the firm's configuration (default: 7 years, consistent with financial industry record-keeping requirements).

Upon account deletion or subscription termination, data enters a soft-delete period during which it can be recovered. After the retention period expires, data is permanently and irreversibly purged from all systems, including backups.

Third-Party Services

We use the following categories of third-party services:

  • Cloud Infrastructure — Amazon Web Services (US regions) for compute, storage, and database hosting
  • AI Processing — OpenAI and Google for document extraction inference (stateless, no data retention by providers)
  • Error Monitoring — Sentry for application error tracking (no financial data included in error reports)
  • Email — Transactional email services for account notifications and password resets

We do not share financial documents or extracted client data with any third party except as required for the technical operation of the platform (e.g., AI inference for document extraction, which is stateless and does not retain data).

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to retention requirements)
  • Export your data in a portable format
  • Object to certain processing activities
  • Withdraw consent where processing is consent-based

Cookies

Synchronized uses essential cookies for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. No cookie consent banner is required because we only use cookies strictly necessary for the operation of the platform.

Children's Privacy

Synchronized is a professional financial services platform. We do not knowingly collect information from individuals under 18 years of age. If we become aware that we have collected data from a minor, we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to account administrators and posted on this page with an updated revision date. Continued use of the platform after changes constitutes acceptance of the revised policy.
